How do I set up Claude for my financial advisory practice?

How do I set up Claude for my financial advisory practice?

Set up Claude in four steps: decide which client data may enter it, choose a plan whose contract covers that data, load your firm's rules and templates into a Project, then build one workflow at a time, starting with meeting notes. A named adviser reviews and signs every draft, and every use leaves a record.

What do I decide before anyone at the firm opens Claude?

Decide where client data may go. That decision comes first. Client names, holdings and circumstances never go into a public or consumer AI account. Real client data only goes into a tool your firm has contracted for it.

Write it down as one rule: which tools may see client data, under which contract, and who signs the output. The EU, UK and US rulebooks differ, but none of them regulates which model you pick. They regulate whether client data stays contained, whether a human owns the output, and whether you can reconstruct what happened. Detail by jurisdiction: Can I put client data into ChatGPT or other public AI tools?

Which Claude plan does an advisory firm need?

Use a commercial plan (Claude Team, Claude Enterprise or the API), not a personal Free, Pro or Max account. Anthropic's Commercial Terms state that "Anthropic may not train models on Customer Content from Services". Data is processed under Anthropic's Data Processing Addendum. In that agreement your firm is the controller, Anthropic is the processor, and the EU Standard Contractual Clauses and the UK Addendum are included.

Two checks before go-live:

How do I give Claude my firm's rules and templates?

Put them in a Project. A Project holds your firm's knowledge base: compliance manual, house style, report templates and the checklists for your jurisdiction. Claude then drafts inside those rules every time, so nobody has to paste them in again.

For repeat tasks, add a Claude Skill: a packaged set of instructions Claude uses whenever that task comes up. To install one, download the zip, then in Claude open Settings, Capabilities, Skills, and upload it. Serra publishes free Skills for meeting prep, meeting records and an automation audit: Prompts and Claude Skills.

Which workflow should I set up first?

Start with client meetings. From your notes or a transcript, Claude drafts the summary, follow-ups, the CRM note, the follow-up email and the compliance record. You approve each one before it goes anywhere.

Once that works, move on to:

One workflow running properly beats five half-built ones.

How do I keep a compliance record of my firm's AI use?

Keep a record for every use: what went in, what Claude drafted, who reviewed it and what was sent. The adviser signs the final version, never the model. In the EU, GDPR Article 22 restricts decisions with legal or similarly significant effects made solely by automated means; meaningful review by a named human keeps AI-assisted decisions outside that restriction. In the UK, the ICO treats a DPIA as likely mandatory before AI processing of personal data starts. In the US, if your firm is SEC-registered, any AI tool that touches customer information falls inside your Regulation S-P safeguards program. Sources and fixes per jurisdiction: AI for Wealth.

When should I connect Claude to my CRM, calendar and email?

Only after the data boundary and the record are working. Connectors (MCP) let Claude read your own systems when a task needs them. Whatever a connector reads is sent to Claude for processing, so it falls under your firm's Claude contract, and any connector provider that handles the data needs its own data processing agreement. Switch on one connector at a time and record what it can access. Serra's connector runs meeting prep and the automation audit this way. The audit looks at the last 8 weeks of your calendar, mail and CRM and shows which tasks AI can take, in hours a week. See the Skills and the audit

Should I set this up myself or bring in help?

Both work. Serra is not another platform. We work on top of the tools your firm already uses.

FAQ

Can I use Claude at all if I'm a regulated adviser?

Yes. Work with no client personal data in it, like drafting, summarising public research or learning a concept, carries little data risk. Real client data belongs only in a contracted commercial route: a Claude Team, Enterprise or API plan under Anthropic's Commercial Terms and Data Processing Addendum, or Claude through your cloud provider under that provider's terms.

Is it enough to anonymise client data first?

Anonymised or synthetic inputs are the right default. But data that can be re-identified is still personal data. If real client data has to be processed, use a contracted tool rather than relying on anonymisation alone.

Does Claude give advice to my clients?

No. Claude drafts, and the adviser reviews, edits and signs. Every client-facing output stays the adviser's responsibility.

Is Serra affiliated with Anthropic?

No. Serra is independent and not endorsed by Anthropic. Claude is a trademark of Anthropic.

How long does setup take?

Our estimate for a firm-wide rollout is 2 to 6 weeks. If you take the course, it is built so one workflow is running in your practice within 30 days.
